If no-one turned up

It happens to all leaders sometime – people book and all pull out on the morning of a walk, or it’s a no-need-to-book activity and you find yourself standing alone at the meeting point.

The System will not let you ‘cancel’ an activity once its Start Day has arrived; instead you have to check-in and report zero attendance.

For no-need-to-book activities

If your activity was a no-need-to-book activity, and no-one turned up, you should:

  • Log in as Leader
  • Activity Status
  • Manage Bookings
  • For the particular activity, select ‘Check-in’
  • Against your name and the name of any co-leader, change ‘Attended = Y’ to ‘Attended = N’
  • Add a comment e.g. ‘No-one turned up, probably because of the rain’
  • Tick the first of the Leader Declarations (this may see a little odd, but it’s the truth – there were in fact no incidents)
  • Hit the ‘check-in’ button.

For activities with bookings

  • Log in as Leader
  • Activity Status
  • Manage Bookings
  • For the particular activity, select ‘Check-in’
  • Against your name and the name of any co-leader, change ‘Attended = Y’ to ‘Attended = N’
  • Against the names of the people who had booked, change ‘Attended = Y’ to ‘Attended = N’
  • Add a comment e.g. ‘Everyone pulled out at the last minute, because of the rain.’
  • Tick the first of the Leader Declarations (this may see a little odd, but it’s the truth – there were in fact no incidents)
  • Hit the ‘check-in’ button.
