Because of their multi-club nature, Wednesday Walks have a special management process.
Managing Joint Club Wednesday Walks in Bilby
The Canberra Bushwalking Club (CBC) joins with the Brindabella Bushwalking Club (BBC) and National Parks Association ACT (NPA) to lead Wednesday Walks (WW). Generally, there are two WWs each week, one of Easy to Medium standard and the other Medium to Hard.
CBC’s WW leaders are expected to enter their walks into Bilby, preferably well before the Sunday before the walk. You are then expected to take responsibility for finalising the walk as described below. After your walk has been posted and reviewed and you are happy with it, you need to notify the CBC WW walks coordinator by sending an email to wednesday.walks”at”canberrabushwalkingclub.org. The coordinator will ensure that the other clubs get notified.
Entering your activity in Bilby
When entering your activity in Bilby:
- Ensure that Activity Info > Overview > Title has the words Wednesday Walk in it. This allows the routine that produces the CBC Upcoming Activities weekly email to include the entry. [Activities provided by BBC or NPA must include these acronyms in the Activity Title so that they can be easily filtered out of our walk statistics.]
- The Activity Info > Overview > Description should begin with **No bookings required for joint club Wednesday Walks** . The asterisks bold the text when the published activity is viewed.
- The Description should include “Those doing their first Wednesday Walk, and those who are not members of the CBC, BBC or NPA, must contact the leader to discuss the level of difficulty of the walk.”
- Set New Bookings status to Void. If a participant ignores the “No bookings required …” note on the activity and makes a booking, their booking is automatically voided so that no further action is required by the activity owner.
- Leave Maximum Participants blank. There is no way you can control the number of participants who turn up.
- If you can, please include a nice photo of your choice.
- When satisfied with the activity entry, change the Status from Draft to Review. When the Walks Sec publishes the activity it will be Members Only, but there is still a possibility that non-members will turn up.
- Wait until your walk has been reviewed and published, then quickly proofread it once more and edit it if needed. Email the CBC coordinator saying that the walk is ready.
- After the activity has been published, the owner is still able to edit the activity information. However, if you make significant changes to the walk, you must notify the CBC Walks Coordinator so that other clubs get notified.
At the start of the walk
The walk leader must take the CBC Acknowledgement of Risks and Obligations form. All participants, including CBC members and guests, must complete an entry.
After the walk
To report the conclusion of a Wednesday Walk:
- Before 11 am the following day, Edit My Activity > More … > Finish Activity > (there should be no participants to mark attendance) Next > (include a note if you’d like) > Finish Activity.
- Send a photograph or scan of the signed AoR&O form to check.in”at”canberrabushwalkingclub.org.
