The System will automatically send these emailed alerts triggered by Walks Secretary actions:

TriggerEmail goes to
Walks Sec approves or rejects an activity offer submitted by a leaderLeader
Walks Sec approves or rejects an activity offer that has been re-submitted by a leaderLeader
Walks Sec cancels an activityLeader
Walks Sec, on behalf of a leader, approves, rejects, waitlists or cancels a booking requestRequestor

The System will not send an emailed alert in these circumstances:

  • Walks Sec creates an activity offer on behalf of a leader and hits ‘submit’
  • Walks Sec edits an activity offer and hits ‘re-submit’
  • Walks Sec changes a Member’s role from ‘Not a Leader’ to ‘Leader’, or from ‘Leader’ to ‘Not a Leader’.

In these circumstances, the Walks Sec needs to communicate with the leader outside the System, to explain what the Walks Sec has done.

The reason that the System does not send an email when the Walks Sec creates or edits an activity on behalf of a leader is that, because Walks Sec actions are automatically approved, the approval step that would have triggered the email does not occur.

For the change to a Member’s role, the System contains a template email that the Walks Secretary may choose to use, but the email is not automatically triggered.
