There are two ways to search for users. The ‘View and search Member List’ menu item allows members to search for other current members. The extent of information displayed for each member is limited by any privacy preferences chosen by that member.
The ‘User Management’ menu item allows authorised users, such as the President and Membership Secretary, to search everyone i.e. applicants, guests and members, both current and past, and to see all details, regardless of the privacy preferences chosen by each member.

To search for a user by name
Use ‘Enter keyword’. Type in the user’s first or last name, or any part of their name. Hit enter, or hit the blue ‘Search’ button.
A search for a name that contains an apostrophe will produce incorrect results. This is a bug that we decided to live with. You can find the user by entering part of their name without the apostrophe e.g. to search for user “O’Toole”, enter the search term ‘Toole’.
To search for a user by their email address or user name
Use ‘Enter Username/Email’. Type in the start of their email address eg lbgroom@. Hit enter, or hit the blue ‘Search’ button.
To search by membership role (member, guest etc)
In the ‘Select a role’ box, hit the down arrow. You will see the list of member roles: Applicant, Guest, Institutional member, Life member, Member. Select one of these. Hit the blue ‘Search’ button.
To see a list of leaders
In the ‘Select a leader role’ box, hit the down arrow. Select ‘Leader’. Hit the blue ‘Search’ button.
To search by Committee position or other admin role
In the ‘Select an admin role’ box, hit the down arrow. You will see the list of all the roles that have been defined via ‘Role Management’. Select one of these. Hit the blue ‘Search’ button. You will see the details of the member who holds this role. ‘No record found’ means the role has not been allocated to any member yet.
To see a list of past members
Use ‘Select View’. Hit the down arrow. You will see a list: Current View, Past View, All View, Deleted Users and Unexpired Guests. Select one of these. Hit the blue ‘Search’ button.
To search for a particular past member, type the member’s first or last name into ‘Enter keyword’, then select ‘Past view’, then hit the blue ‘Search’ button.

To see a list of new applicants
Use ‘Select status’ and default or ‘Current View’. Hit the down arrow. You will see a list: Received, Approved, In Progress. Select ‘Received’, then hit the blue ‘Search’ button.

To see a list of members within a certain age range
Enter the start year of the range in ‘Age: Select Start Year’. Enter the end year of the range in ‘Age: Select End Year’. Then hit the blue ‘Search’ button. Note that the resulting list will be incomplete because year of birth is optional data.
For more complex searches involving age (eg a list of all members over a certain age who are willing drivers), use the Reports Management menu item.
To see which members have, or don’t have, First Aid qualifications
Use ‘Select First Aid Qualified’. Hit the down arrow. You will see a list: Qualified, Qualified but not current, Not qualified. Highlight one of these. Hit the blue ‘Search’ button. Note that the resulting list will be incomplete because First Aid status is optional data.
Frequently asked questions
Q. How do I find out how many current members in the club?
A. the quickest way to do this is to look on your Dashboard page ( as a Committee member) and read the number against ‘Members’. The second quickest way to do this is to use Reports Management > Create User Report. The third-quickest way is via these steps in User Management:
- Check that the ‘Select View’ box is displaying either ‘Select View’ or ‘Current View’
- In the ‘Select a role’ box, select ‘Member’
- Hit the blue ‘Search’ button.
- Count the number of entries by using the ‘per page’ information and counting the number on the last page.
Q. I am searching for a user with the name Fred Bloggs. I know he is a member, but all I get is ‘No record found’.
A. Try:
- Hitting the blue ‘Reset’ button and then repeating your search, or
- Hitting the blue ‘Reset’ button, changing ‘Select View’ to ‘All view’, and then repeating your search
- Searching by Fred’s user name instead of by his name
- Go to ‘View and search Member List’ and browse the users beginning with B.
Q. If I try a search for anyone who has an apostrophe in their name e.g. ‘Mary O’Shea’, I get no results. But I can see that there are members with apostrophes in their names.
A. Unfortunately, search terms that include apostrophes will always find no results. The software developers were not able to provide searches that included apostrophes – ‘for database reasons’. So if you are, for instance, looking for Mary O’Shea, try searching on ‘Mary’.
