Current members and life members, excluding institutional members, for email distribution

Create users report:

  • Select view: Current
  • Select leaders, roles or statuses: members and life members
  • For each selected user display: Name, Email 1 and role (suggested, not essential)
  • Sort the list by: alphabetically by name (suggested, not essential)

Prepare report:

  • Custom dates, leave the dates blank
  • Output format: any

Current leaders, for email distribution

Create users report:

  • Select view: Current
  • Select leaders, roles or statuses: leaders
  • For each selected user display: Name, Email 1 and role (suggested, not essential)
  • Sort the list by: alphabetically by name (suggested, not essential)

Prepare report:

  • Custom dates, leave the dates blank
  • Output format: any

Members who joined in the last month, for a regular report to a Committee meeting

Create users report:

  • Select view: Current
  • Select leaders, roles or statuses: From received or In progress, to Approved
  • For each selected user display: Name
  • Sort the list by: alphabetically by name

Prepare report:

  • Use Default dates
  • Output format: PDF

Members who expired and did not renew, in a period in the past

Create users report:

  • Select view: Past
  • Select leaders, roles or statuses:  From Approved to Expired, and still Expired now
  • For each selected user display: Name, Email1
  • Sort the list by: alphabetically by name

Prepare report:

  • Custom dates, leave the dates blank
  • Output format: any

Members due for renewal soon

Create users report:

  • Select view: Current
  • Users with any of these statuses: From Approved to Expired, and still Expired now. (Note: ‘now’ in this context will be in the date range you specify in ‘Prepare report’.)
  • For each selected user, display: All data (The all data option will allow you to check each member’s actual expiry date if you wish. And, if you are running the report with the aim of contacting the members to encourage them to remain in the club, you may find it useful to see the other available data such as whether they are interested in Wednesday Walks.)

Prepare Report:

  • Custom dates, enter a future date range.
  • Output format: Excel, so that you can see the ‘All data’. You can make the report easier to read if you use the Excel Hide function to hide any columns that are not of interest.

How many Club members have been nominated for membership by a particular member?

You can do this using a combination of the System and Excel, and some analysis.

Create users report:

  • Select view: Current or All
  • Select leaders, roles or statuses:  Members, Life Members
  • For each select user, display: All data

Prepare report:

  • Custom dates, leave the dates blank
  • Output format: Excel
  • Find, in the Excel document, the column ‘Nominated by’ (Column Z). Use the Excel Sort and Filter function to sort by that column – that will group together everyone nominated by, say, Fred Bloggs. Count them.
